Stirling Dynamics is recruiting an Office Manager to join Stirling Dynamics' Support Services team.


Stirling Dynamics is looking for an Office Manager to play a key role in supporting the business during an exciting period of growth. The role is open to both full-time applicants as well as those looking for a part-time job share position. 


This is a hybrid role with both Reception and Office Management duties combined. The successful candidate will be accountable for providing an efficient and enthusiastic service to all internal and external customers. They will need to be diplomatic and confident and will be expected to maintain a high level of customer focus at all times. The Office Manager will need to be reliable and work in a methodical and organised manner.


The successful candidate must have good time management skills, be personable and work well under pressure.


Due to the nature of this role, the successful candidate will be based in our Bristol office. 


  • Diary management of all meeting rooms
  • Preparing meeting rooms for client meetings
  • First point of contact to meet and greet external visitors
  • Sort and distribute all internal mail and all out-going mail to be stamped and sent out
  • Answer switchboard calls and pass on to the appropriate person
  • Support the running of the companies Health and Safety and Facilities systems (e.g. monitoring training, facilities inspections)
  • Administer pool car fleet, availability, utilisation, service and repairs
  • Support with ad-hoc travel and accommodation bookings
  • Monitoring and reviewing office management suppliers., including tendering for new contracts
  • Ordering office supplies such as stationery and office consumables
  • Oversee planned maintenance and ad hoc repair work in relation to facilities management
  • Upkeep of all office management-related trackers such as office orders, travel booking and Office Management schedules
  • Any other ad hoc duties as required


  • GCSE Maths and English (or equivalent)
  • NVQ in Administration or equivalent preferred but not essential
  • Fully licensed driver preferable but not essential


The personal qualities & skills of the jobholder will be key to success in this role. The following characteristics and qualities are identified as essential for the role:

  • An ability to manage multiple tasks and to work independently when required
  • Strong IT skills, in particular MS Office packages including Outlook (managing multiple diaries), Word, PowerPoint and Excel
  • Highly developed interpersonal skills, including a diplomatic and professional approach when dealing with people
  • The capability to work efficiently and accurately with attention to detail and the discipline to self-check own work
  • Good organisational skills, including record keeping
  • Understand the importance of confidentiality
  • Ability to cope with conflicting demands
  • The job holder must be able to take responsibility for delivery of outputs on time and produce a high quality of work, they must also know when to escalate and communicate issues in order to progress in the role


  • Previous administrative, reception or office management experience 
  • Experience supporting senior levels/Directors
  • Experience supporting Health and Safety activities is desirable but not essential


Competitive Package (Grade 2 - 3, £23,000 - £27,000 dependent on experience)
